1. Who we are

Ware AI, Inc. ("Ware AI", "we", "us") makes Aware, an assistant that brings together a person's email, calendar, files and notes so they can see what needs them, ask questions across their work and hand off routine tasks. Aware is available at askaware.ai and dashboard.askaware.ai (the "Service").

Aware is provided to people through their organization. When your organization provides Aware, we process your information on its behalf and under our agreement with it, as well as under this policy.

2. Information we collect

Account information

Your name, work email address and organization. You sign in with your organization's Google account, so we never see or store your password. From Google we receive your name, email address and your organization's domain.

What you create in Aware

Your conversations with Aware, and the notes, tasks and routines you save.

Data from services you connect

Connecting a service is optional and done by you, one service at a time. We only access what is described in section 3.

Technical information

Basic logs needed to run and secure the Service, such as IP address, browser type, and the time and outcome of requests.

Demo requests

If you ask for a demo on our website, the name, work email, organization and message you enter, so we can reply.

4. How we use information

We do not use your information, or your organization's, to train AI models.

5. AI processing and service providers

To answer you, Aware sends the relevant part of your request to an AI model provider: your message, and the information Aware looked up to answer it, such as email previews or calendar events. When Aware ranks what needs you, it sends only senders, subjects, times and Gmail's category labels, not message previews. Today that provider is OpenAI, through its API, whose terms do not allow it to train models on this data.

6. What your organization can see

Your organization's Aware admins can see who has joined, the settings and policies for your organization, and whether your connected services are working. They cannot see your conversations, notes, tasks, routines or email through Aware, and they do not get reports on how much any individual uses it.

7. How long we keep information

We keep your information while your account is active. You can delete your conversations at any time in Settings. When you disconnect Google, we revoke Aware's access with Google and delete the stored access tokens. When your account is deleted, we delete your information within 30 days, and backups within a further 90 days.

Information is encrypted in transit and at rest. Each person's data is kept separate from everyone else's by access rules in our database, and access by our team is limited to what is needed to run the Service.

Aware is for people using it through their work and is not directed to anyone under 18.

11. Changes

We will post any changes here and update the date above. If a change materially affects how we use your information, we will tell you in the Service or by email before it takes effect.
